What a voicebot is and when it makes sense on the phone

AIR Editorial Team
What is a voicebot, or AI voice assistant?A voicebot is an assistant that talks on the phone or by voice: it listens, transcribes what you say, understands the request with an AI model and replies in a synthetic voice.
The short version

A voicebot has three parts working together: transcription of the voice into text, the model that understands and decides the reply, and the speech synthesis that reads it out. Today synthetic voices sound very natural, and the conversation can flow smoothly even on requests nobody planned for.

A voicebot makes sense where many similar calls come in: bookings, opening hours, the status of a case. Where calls are sensitive or rare, a person remains the better choice.

An example in a small business

A medical clinic receives many calls to move appointments. A voicebot answers out of hours, recognises the patient, offers the free slots and confirms by SMS. Calls about symptoms or emergencies are passed straight to staff.

The most common mistakes

  • Forcing callers to talk to the bot with no simple way to reach a person.
  • Overlooking line quality and accents: transcription makes more mistakes on the phone.
  • Forgetting the privacy notice: callers must know they are talking to an automated system and how their data is handled.

Why it matters to you

On the phone, customers are less patient than in a chat: a pause that is too long or a question repeated weighs on them straight away. Before choosing one, ask to listen to recorded calls in Italian on cases similar to yours, and measure how many calls end without being passed to a person.

All the AI terms explained simply are in the glossary.

Frequently asked questions

Does a voicebot understand dialects?

Regional accents usually work, strong dialects less so. Test it with real calls from your customers.

Does it work with my phone system?

Often yes, through your telephony provider. It is the first thing to check.

Can a voicebot also make outbound calls?

Technically yes, for reminders and appointment confirmations. Automated sales calls are a different matter, with stricter rules on consent and privacy: before you start, get the opinion of whoever looks after privacy in your business.
