What is a custom GPT and when is it worth building one?
The idea is to package a specialised assistant. Whoever creates it writes what it should do and how, uploads the files it should rely on, and chooses whether it can browse the web or generate images. Whoever uses it finds an assistant that is already set up, without having to write long prompts.
Similar tools exist in other assistants, under different names, such as Gemini's Gems. The shared limit is that they stay inside the platform: users need an account, and it is not meant to sit on your website in place of a proper chatbot. Also, under certain conditions, the files you upload can be read by the people who use the GPT.
An example in an SMB
A window and door company creates a "Quotes" GPT for its technicians. It contains instructions on how to describe measurements and materials, the price list for the different jobs and a text template. The technician dictates the notes from the site visit and gets a tidy draft quote, which the office checks before it is sent.
The most common mistakes
- Uploading confidential data to a GPT that is shared publicly.
- Using it as a chatbot for customers on your website: it is not built for that.
- Creating lots of them and not maintaining them: instructions and files go out of date.
Why it matters to you
A custom GPT is the quickest way to turn a good prompt into a tool that the whole office uses in the same way.

Frequently asked questions
Do I need a paid subscription?
To create and share them within a business, a paid plan is the better choice, and it also offers stronger guarantees on your data. Check the current terms on the provider's website.
Does a custom GPT learn from conversations?
No, it is not retrained while you use it. To improve it, you correct the instructions and the files.
Can I let my customers use it?
Technically yes, with the link, but they need an account. For a real customer service tool, a chatbot built into your website is better.

The system prompt is the set of fixed instructions the model receives before every conversation: who it is, how it should speak, what it can and cannot do.
GlossaryWhat a knowledge base is and why AI needs one
A knowledge base is the organised set of your company's information, such as FAQs, procedures, product sheets and terms, from which an AI assistant takes its answers, kept up to date by someone responsible for it.

A chatbot is a program that holds written conversations with people. An AI chatbot uses a language model to understand freely worded questions and answer in a natural way.
